For an illustrative bedroom, list an Ellington Door Handle with the required passage or privacy function, an Aure Toggle Switch or compatible dimmer at the entrance, and each outlet position separately. These are product-family examples, not quantities for every bedroom. Confirm the contents and unit of sale of each selected item.
Use the checklist below during a site walk or drawing review. Mark each item as retain, replace or unresolved. Then turn the confirmed replacements into an order using the supplier's actual unit of sale.
Give every location an identifier
Name rooms consistently and assign a reference to each door, cabinet group and electrical wall position. A simple label such as “Kitchen - entry controls” is more useful than “three switches” when several trades need to discuss the same location.
Photograph existing conditions where relevant and connect each photograph to that reference. For new work, use the same reference on the drawings. Do not use a room's overall outlet count as a substitute for recording its different plate and device configurations.

This is an inventory prompt, not a list of items that must all be purchased from one range. Plumbing, electrical and door requirements should be checked by the appropriate installer.
Separate the count from the configuration
For an electrical position, record the required functions and the complete proposed assembly. Two controls do not necessarily mean two separately ordered plates. Include the device opening, plate arrangement and any required parts identified by the installer.
For a door, record the function and hardware set before converting the count into a quantity. A fixed pull on a closet and an operating privacy set are different items even when their visible shapes match.
For cabinetry, count the actual doors and drawer fronts, then confirm the fixing dimensions and chosen arrangement. Existing holes can affect the replacement selection. A drawing that shows a repeated run of cabinetry may contain fronts of different widths or different opening mechanisms.

Keep quantity calculations visible. If five doors need a complete handle set and the supplier sells one set per pack, the order is five packs. If the product is sold differently, use that unit instead. The schedule should make the conversion understandable to someone other than its author.
Add spares deliberately
There is no universal percentage of spare hardware that every project needs. Discuss service needs, damage risk and future additions, then record the reason for any extra quantity. Check the applicable return terms before ordering extras; unused stock is still part of the project budget.
